Corporate Event Transportation
Bay State Transportation runs corporate event transportation in passenger vans across Greater Boston. Point-to-point runs timed to your agenda, one written schedule, and a quote your procurement office can file.
Event Formats
Offsites and team outings run point-to-point: office to venue and back on set times, with the group moving together. Conference-day transport runs the same way, hotel to event site and back, timed to the agenda. Municipal and institutional work covers town departments, colleges, and hospitals booking group rides for staff or visitors.
The vans and drivers assigned to your event stay with the group for the whole booked block, so mid-day moves between sites are part of the same plan, not a separate booking. Corporate work is part of our broader event transportation service.
How Conference Transportation Is Coordinated
Everything runs on one written master schedule built from your agenda. If attendees start from more than one location, the pickups go on that same schedule: each stop gets a set time, and the group arrives at the event site together.
The schedule has one owner at BST. You name an event contact, and when a session runs long we adjust the plan for all vans, not one at a time. Vans are in place at the first stop before the scheduled departure.
What the Quote Contains
The quote is a written document, not a phone estimate. It lists the route plan with stops and times, the vehicle assignments matched to your headcount (from minivans to full-size passenger vans, accessible vans on request), and one all-inclusive total. The total is final: tolls, fuel, and staging are in it, and nothing is billed on top.
Procurement can file it and you can forward it. Send the date, the agenda, the stops, and the headcount to start: Get a Quote.
Accessible Transport for Attendees
The fleet includes lift-equipped vans, assigned at booking. Attendees who use wheelchairs ride with the group on the same schedule. Flag the need in the quote request and we build it into the vehicle assignment.
FAQ
-
Can you pick up from several locations?
Yes. Multi-stop pickups run on one master schedule: each location gets a set pickup time, and the vans deliver the whole group to the event site together.
-
Do the vans stay during the event?
Yes. The vans and drivers assigned to your event remain with the group for the whole booked block. Mid-day moves and the return run are in the same plan, and the drivers wait at planned points between runs.
-
How is a multi-day event handled?
One document covers every day: routes, times, and vehicle assignments per day, with one all-inclusive total. Schedule changes between days take one message to us, and we update the plan.
-
Can the schedule change during the event?
Yes. Your event contact sends us the change. When a session runs long, the affected runs are adjusted and the drivers get the update from us.
-
How far in advance should we book?
There is no fixed cutoff. If the date is near, call (617) 331-1222 and we confirm availability the same day; the written quote follows for your records.
