Bay State Transportation moves event groups in passenger vans across Greater Boston. Your vans and drivers stay with the group for the whole booked block, on one written schedule.

BST runs event transportation in vans, not buses: the fleet runs from minivans to full-size passenger vans, and the van count is matched to your group. Vans also get into places big buses cannot: narrow streets, historic districts, tight venue driveways.

We handle group transportation for companies, schools, municipalities, and private clients as part of our transportation services. Event work has no coverage zone: you name the stops, we check the route and quote it, in Greater Boston or across Massachusetts.

Wedding transportation

Guest transport from the hotel to the ceremony, on to the reception, and back at the end of the night. The vans stay with your guests for the whole plan.

Corporate event transportation

Offsites, conferences, and team outings. Point-to-point runs timed to the agenda, with the group moving together on one written schedule.

Your Vans for the Whole Event

The vans and drivers assigned to your event stay with your group for the whole booked block. The group moves together from point to point: hotel to venue, venue to venue, and back at the end. Between runs the drivers wait with the vehicles, ready for the next leg.

Vans are staged at the first pickup ahead of the departure time, so boarding starts early and the schedule holds. We plan the waiting points at each stop in advance, including venues where a bus could not park or even enter the street.

How an Event Booking Works

  2. Route plan and vehicle assignment

    We check the route and timing against real traffic, set the staging points, set the van count, and assign vehicles, including accessible vans if requested.

  3. Confirmed schedule

    You get a written day plan with pickup times, stops, vehicle assignments, and one all-inclusive total. You approve it before the day.

  4. Day-of coordination

    You give us one day-of contact, and one person at BST works with them for the whole event. Drivers follow the plan; changes reach all vans together.

  • How does an event booking work?

  • How many vans will my event need?

    The van count is matched to your guest count and itinerary. Vehicles range from minivans to full-size passenger vans, and larger groups ride in several vans that move together on one schedule. The quote states the vehicle mix and count for your event.

  • What does the quote include?

    A written document: the route plan with stops and times, the vehicle assignments, and one all-inclusive total. No service fees or surcharges; tolls, fuel, and staging are covered. You can hand it to a venue coordinator or a procurement office as is.

  • How far in advance should I book?

    Earlier is better, especially for spring and fall weekend dates. There is no fixed cutoff; we confirm availability when we quote. Call (617) 331-1222 if the event is close.

  • Can I request a wheelchair-accessible van?

    Yes. Lift-equipped vans run in the same fleet and are assigned at booking. Note the need in the quote request and we build it into the vehicle assignment.

  • Do you operate buses?

    No. Bay State Transportation runs minivans, full-size passenger vans, and wheelchair-accessible vans with lifts. Vans reach venues buses cannot: narrow streets, historic districts, small parking areas. Larger groups ride in several vans on one schedule.

  • Where do you run event transportation?

    Wherever your event needs. Most events run in Greater Boston, and trips across Massachusetts are quoted the same way. There is no zone list for event work: send the stops and we plan the route.
